Privacy Policy

FirstSend Music ("FirstSend Music," "FSM," "we," "us," or "our") provides sync-licensing software that helps catalog managers, artists, sync agents, and publishers organize tracks, match them to briefs, and send pitch emails. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to the FirstSend Music web application at app.firstsendmusic.com and our related sites.

Information we collect

Account information. Your name, email address, and authentication credentials managed through our identity provider when you sign up.
Profile and catalog content. Information you add to FSM, such as your artist profile, track metadata, audio files, project details, and pitch history.
Connected-service data. If you choose to connect Gmail, an encrypted Google OAuth refresh token used solely to send emails you initiate. See the Google Limited Use section below.
Usage and technical data. Standard log information such as device, browser, and interaction events used to operate and improve the service.

How we use information

To provide and operate FirstSend Music, including matching tracks to briefs and composing and sending pitch emails at your direction.
To draft pitch emails and interpret sync briefs with a third-party AI provider (Anthropic's Claude API), operating only on the catalog details and brief text you enter in FSM. See the Google Limited Use & AI section below.
To authenticate you and keep your account secure.
To process subscriptions and payments through our payment processor.
To communicate with you about your account, including service and transactional emails.
To maintain, troubleshoot, and improve the service.

Google API Services — Limited Use & AI disclosure

FirstSend Music's use and transfer of raw or derived user data received from Google Workspace APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Scope. FirstSend Music requests only the https://www.googleapis.com/auth/gmail.send scope, for the single purpose of sending pitch emails on your behalf, from your own Gmail address, at your explicit direction within the app. This is a send-only scope: we do not read, import, store, or transfer the contents of your mailbox, and we do not access any other Gmail or Google account data. We never use Google user data for advertising, and we do not sell it or transfer it to third parties except as needed to provide this sending feature.

Artificial intelligence. FirstSend Music uses a third-party AI provider, Anthropic (the Claude API), to help draft pitch emails and interpret the sync briefs you enter. This processing operates solely on content you type or upload into FirstSend Music, such as your track metadata and brief text. Raw or derived user data received from Google Workspace APIs is never sent to Anthropic or to any other artificial intelligence or machine-learning model. We do not use Google user data to develop, improve, or train any AI or ML models, and under Anthropic's API terms the content we send is not used to train Anthropic's models.

Retention & revocation. The only Google data we retain is an encrypted refresh token, used exclusively to send messages you initiate. You can revoke this access at any time by disconnecting Gmail in Account Settings or through your Google Account permissions; doing so deletes our stored token.

How we share information

We do not sell your personal information. We share information only with service providers that help us operate FSM — for example, our hosting provider, database and authentication provider, email-delivery provider, payment processor, and our AI provider (Anthropic) — under agreements that limit their use of the data to providing services to us. The content sent to our AI provider is limited to the catalog details and brief text you enter; data received from Google Workspace APIs is never shared with our AI provider. We may also disclose information if required by law or to protect our rights, users, or the public.

Data retention

We retain your information for as long as your account is active or as needed to provide the service. You may request deletion of your account and associated data at any time by contacting us. Connected-service tokens are deleted as soon as you disconnect the integration.

Security

We use industry-standard safeguards to protect your information, including encryption of sensitive credentials such as Google refresh tokens at rest. No method of transmission or storage is completely secure, but we work to protect your data and limit access to it.

Your choices and rights

Access, update, or delete your profile and catalog content from within the app.
Disconnect connected services such as Gmail at any time in Account Settings.
Request a copy or deletion of your personal data by contacting us.

Children's privacy

FirstSend Music is not directed to children under 13, and we do not knowingly collect personal information from them.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you.
